One of Aidi’s best features is that you can add documents and URL links to many different pages, such as Project Details, Invoice, Purchase Order, Budget and many others.
You can also manage all documents and URL links from the Documents page of the Supervision menu, regardless of whether they were added from a specific page or from the documents page.
From the document screen, you’ll see all the documents you have access to in Aidi.
- A document can be linked to a screen (such as a Budget or a Purchase order).
- It can also be linked directly to the list of documents, in which case it can only be accessed from this screen.
Categories
In the list on the left, you’ll find the different categories in which to classify your documents.
By default, each screen is a “native” category (these categories cannot be deleted), so users will only see the native categories associated with the screens to which they have access. Each document linked to a particular screen will end up in the appropriate category.
For example, if you insert a document in a purchase order, the document will appear in the purchase order category or one of its sub-categories.
You can also create your own categories and subcategories using the button at the top of the list and the 3-dot menu for each category.
You can drag and drop documents into different categories, but if the document in question is linked to a screen, it cannot be moved outside the tree structure of that screen’s native category.
Manage Document Versions
To improve tracking and keep track of any changes, we also offer the option of managing multiple versions of the same document.
- Upload a new version by clicking on the 3-dot menu associated with a document.
- Aidi will ask you to enter the specifications of this new version.
- Add the new file.
- Save.
- The version number will automatically increase.
- Manage versions by clicking on the 3-dot menu associated with a document.
- From here, you can view all existing versions of your document. You can also modify specifications by clicking on the Edit button.
- You can delete a version by clicking on the X.
- This modal also allows you to add new documents.
