The Project Charter report allows you to extract various data related to the selected project to generate a standardized project charter.
The report can be generated for one or multiple projects. If multiple projects are selected when generating the report, simply click on the dropdown menu to select the project to generate. If only one project is selected, the sections will be generated automatically.
After selecting the project, click on the Table of Contents to choose the project item(s) you want to display in the charter. The following sections describe the content of each item that can be selected.
General information
This section displays the information from the Description section of the Project Details page in Aidi as well as the name of the project manager as specified in the project’s Contact section. The project’s start and end dates are also shown.
Complementary information
This section displays the custom fields from the Project Details page in Aidi, along with their assigned values.
✏️Note: It is possible to configure which custom fields you want to include or exclude from the project charter. For more information on this, refer to the Report Configuration section below.
Project definition
This section allows you to display several items from the Project Details page, including:
- Project Description
- Impact Description
- The priority can be found in the section’s title
- Project’s Objectives/Scope
- Benefits realization management
- Project Request: Identified in the Links section of the Project Details page.
- Linked projects: Identified in the Links section of the Project Details page.
- Project constraint / hypothesis
- Project inclusions / exclusions
Contacts
Displays the list of contacts defined for the project.
✏️Note: It is possible to configure the generation of contacts based on roles. For more information on this, refer to the Report Configuration section.
Budget
Presents each approved budget by component.
It is possible to display the first-level cost breakdown of the budgets.
It is also possible to select a tax group to display the amount with taxes.
The tax group (4) is applied to the amount with taxes for both the Budget section and the Financing section.
Financing
Displays all the project’s financings. As with the budget section, it is also possible to select a tax group to obtain an amount with taxes (see image above).
Schedule
This section displays all the tasks defined in the schedule (only parent tasks), along with the owner, phase, start and end dates for each task, the number of operation days and the estimated effort.
Deliverable
This section displays all the tasks of the schedule defined as deliverables, along with the owner, phase, start and end dates for each stage, the number of operation days and the estimated effort.
Project risks
Information regarding the risks associated with the project, as displayed in the risk list in Aidi, along with the Weighted Amount.
Acceptance of the project charter
This section allows the responsible person and the project sponsor to approve the charter.
By default, the charter will include all project contacts. However, it is possible to configure the approvals of the charter in two ways:
By selecting the project contacts
By selecting a scheduled task (Reserved for Enterprise clients) with a defined approval chain. The roles of the contacts defined in the approval chain of the task will be used to generate the list of approvers.
✏️Note: If no task in the project has an approval chain defined, the button will have no effect.
Notes et comments
Notes and comments can be added manually at the end of the charter.
Report Configuration
It is possible to define a custom configuration that will be applied each time your report is generated.
Here are the steps to follow in order to apply your custom configuration.
- Add the configurable version of the report and generate it with any project.
- Define your configuration and, once finished, change the value of "Configuration completed" to TRUE and click on the button to generate a report version with this configuration. For roles and custom fields, make sure to accurately transcribe the names letter by letter. More information on each configuration column is available below.
- A new configuration file will be generated in the same directory. Take this file and upload it to your report center. This file becomes your custom project charter template for your organization.
Table of contents per default
- Allows you to define the sections you want to display by default.
- Any other sections not included in this table will be hidden (unless the table is empty).
- All the cells in this column are in a dropdown list format.
Contacts filter per role
- Allows you to define the roles you want to display in the charter.
- Any contact who does not have the specified roles will be excluded from the charter.
Custom field filters
- Allows you to define the custom fields you want to display in the charter.
