This report can be used with your internal financial teams to calculate all project costs, broken down by financing accounts. It is very similar to the cost summary in Aidi (same columns), but will display amounts by financing accounts instead of by budget items.
In order to use the Financing Account Overview report, the project’s financing must be broken down into financing accounts, and the accounts must be associated with budget items.
This report shows a table similar to the cost summary, with the amounts allocated to the various accounts.
✏️Note: This report can be executed on more than one project at the same time.
How to Read this Report
Financing Account Breakdown Tab
The information in this tab is broken down by project component.
The first columns show project information:
- Reference
- Project name
- Component
The next 3 columns detail the financing accounts:
- Code
- Description
- Amount associated with this account, as determined in the Financing breakdowns section.
The next columns reproduce some of the information from the Committed and Real Costs sections of the Cost Summary, while calculating the percentage of use of the financing accounts and the amounts available.
- Amounts of the last approved budget, broken down by accounts according to their association with budget items. The last line of this column shows the budget amount not associated with an account.
- Percentage of budget used by account. Amount of approved budget broken down by account divided by total amount of account.
- Total committed amounts by financing account, i.e. the amount of approved purchase orders and contractual changes associated with budget items for which a financing account has been assigned.
- Total actual costs for each financing account, i.e. the amounts of invoices and operating expenses associated with the budget items for which a financing account has been allocated.
- Amount remaining in the account after actual costs have been subtracted.
- Percentage of account utilization in relation to actual amounts. Total actual costs divided by the total amount allocated to the account.
- The first line in the dark gray section at the end of a project or component item displays the overall sums and percentages of the component.
- The last line in the dark gray section displays the amounts not associated with any financing account, if applicable, for the project component.
Filter the results
Some columns feature a filter allowing you to sort the display by project, component and financing account.
✏️Note 1: When a filter is applied, the total lines calculate the sum of the data displayed, taking the filter into account.
✏️Note 2: To display amounts not associated with a financing account, the filter is located in the component name column.
Committed / Actual Costs Details and Other Information
Click on the + buttons at the top of the page to view details of committed amounts, actual costs and other information that are also part of the cost summary.
Committed Details
Two new columns are displayed to show the breakdown between approved purchase orders and contractual changes (both being committed amounts).
Actual Costs Details
Two new columns are displayed to show the breakdown between operating expenses and invoiced amounts (both being actual costs).
Other Information
By clicking on the + above the column Other, you’ll see the amounts to come (pending purchase orders, reserved budget, pending contract modifications) broken down by account. Total costs to come and percentage of utilization are also shown.
As in the cost summary, the trend and budget gap are calculated by account, and you’ll also find the financing gap. (Total amount of the account - trend).
If you have entered projected costs in the cost summary, they will also be displayed.
Financing Breakdown Tab
The information in this tab is broken down by financing.
As with the first tab, the first columns show the basic project information:
- Reference number of the project
- Project name
- Components
The next columns show the breakdown of each financing item by account, as entered in the Financing breakdown section.
You can apply filters by project, component, financing, total revised amount and financing account.
